If as a manager you have a member of your staff who wishes to leave their employment with the University, we wish to provide you help and guidance in the transition.
Below are details of the notice periods that your staff would need to give the University, depending on their grade:

|Grades 3 - 6||1 Month|
|Grades 7 - 10||3 Months|
|Grades 7 – 10 Academic Staff||A full term's notice|
|Professorial Staff||A full term's notice|
There are some steps you need to take if your staff member resigns or retires:
1) Inform us in writing
The employee needs to give you formal notification that they wish to resign or retire, either by letter or email. They should also include the date they wish to leave.
2) Inform Human Resources about the employee’s decision to leave
You need to discuss with the employee how much annual leave they have left or owe and determine whether they wish to take any outstanding leave before their employment ends or if they want it to be paid to them as part of their final salary payment. You then need to inform your HR Officer about the employee’s decision to leave. We will then formally write to the employee detailing any payments or deductions that will be made as well as any other information they need to know.

3) Exit Questionnaire and Handover
As their manager you should encourage them to fill in an exit questionnaire, which should then be returned to HR. Employees can also request an exit interview with their HR Officer.
You should also conduct a handover meeting with the employee to ensure that you and your staff are aware of all the information that is important for the future functioning of your team. 4) Return of University Property
On or before the employee’s last working day they need to return all University property that they have been given.
Property that they need to return may include, but is not limited to:
- University Staff ID Card
